Voice Mail will call a phone or pager to notify you of new messages. From the Main menu, choose Setup Options > Message Settings> Change Message Notification. Choose the device to change and follow the prompts to change the notification number, and to enable or disable notification.
Create lists of voice message recipients. When you address a voice message to a list, it is 'broadcast' to everyone on the list. From the Main menu, choose Setup Options > Message Settings > Edit Private Lists > Change Names. Choose an empty private list number. Follow the prompts to add names to the list or to change the names.
MANAGE VOICE MESSAGES IN OUTLOOK
Voice Messages appear as emails in Outlook. Open a message; click the WAV file icon to play the attached recording.

LOG IN TO VOICE MAIL FROM ANY PHONE
Follow the voice prompts to hear messages and change options as described below.
Tip: press ## to switch between spelling and number entry.
SEND A VOICE MESSAGE
From the Main menu, choose the menu option to Send Message. Follow the prompts to record the message, add the extension, and send.
From the Main menu, choose the option to Play New Messages or Review Old Messages. Follow the prompts to listen to and manage your messages.
REPLY TO A MESSAGE
You can reply to messages from callers within the KSU system. Reply messages are not saved. After listening to a message, choose the menu option Reply. Follow the prompts to record your reply, add additional recipients, and send.
FORWARD A MESSAGE
You can forward a message as is, or record an introduction. Messages marked private cannot be forwarded by phone. Forwarded messages are not saved.
After listening to the message, choose the menu option Forward. Follow the prompts to address the message, record an introduction, and send.
Follow the prompts to handle the original of the message which you just forwarded.
MANAGE DELETED MESSAGES
To play a deleted message, choose the main menu options to
Review Old Messages > Deleted Messages > Review Your Deleted Messages.
To permanently delete a message, choose from the main menu
Review Old Messages > Deleted Messages.
Follow the prompts to review and delete messages individually, or to delete all.
MANAGE PERSONAL GREETINGS
The Standard greeting plays as default.
The Alternate greeting plays during a specific time period that you designate, such as vacation, and overrides all other greetings.
The Busy greeting plays when you are on the phone.
The Internal greeting plays to callers within KSU.
Note: Recording a greeting does not enable it. Be sure to enable the greeting.
CHANGE YOUR RECORDED NAME
From the Main menu choose Setup Options > Personal Settings > Change Recorded Name.
Follow the prompts.
Log in to voice mail. From the main menu, choose Setup Options > Greetings.
Your current greeting will play, follow the prompts to re-record it, or press # to skip it.
Choose the Edit Other Greetings option to choose a different greeting to record.
After the greeting is played, follow the prompts to record it.
ENABLE OR DISABLE ALTERNATE GREETING
From the main menu, choose Setup Options > Greetings. (Press # to skip greeting playback.)
Choose the Alternate Greeting option to enable or disable this greeting.
Add an end date.
ENABLE OR DISABLE OTHER GREETINGS
From the main menu, choose Setup Options > Greetings. (Press # to skip playback)
Choose the Edit Other Greetings menu option and choose the greeting (Closed, Busy, Internal) you wish to enable or disable.
After the greeting plays, follow the prompts to turn the greeting on or off, add an end date.
